ETF Stream required a registration solution that could flex to two very different delegate volumes: a focused first day (c. 200 attendees) followed by a high-traffic second day (c. 600 attendees) at the Convene Sancroft, St Paul’s, London.

Pre-Event Preperation
Working closely with ETF Stream, we laid the groundwork for a frictionless delegate journey well before doors opened.
Badge Design & System Setup
Full-colour, double-sided badge artwork was produced and the registration platform loaded with delegate data, enabling simultaneous on-site printing and e-badge email delivery.
Logistics Coordination
Two kiosks were pre-configured for both event days, with an additional four units prepared for rapid overnight deployment. All networking, cabling, and backup print hardware were tested and packaged. Van hire, 250 mi mileage planning, accommodation and sustenance for the crew, plus central-London parking arrangements were finalised in advance.
Team Assignment
A Registration Manager and Registration Assistant were briefed to oversee set-up, live operation, and de-rig. Clear schedules were issued to adhere with the venue’s tight delivery and load-out windows.
On-Site Execution
Our crew arrived for the 04:00 set-up window on 21 May and had the registration zone operational ahead of the 08:00 delegate arrival.
Kiosk Deployment & Scaling
Day 1 ran on two kiosks, comfortably processing approx. 200 delegates. Overnight, four additional kiosks were rolled into position, network-tested, and live by 07:30 on Day 2—tripling throughput capacity for the 600-strong crowd.
Live Registration Delivery
Delegates checked in, collected branded badges, and received e-badges automatically. Queue lengths never exceeded three guests, and all equipment ran fault-free.
Professional Delivery
Clear signage, lanyard distribution and an attentive staff presence maintained a premium front-of-house experience throughout both days.
Post-Event Wrap-Up
Once the final delegate had departed, our focus shifted to a smooth and professional close-down.
Rapid De-Rig
At 16:00 on 22 May, the team dismantled six kiosks, secured all hardware, and vacated the venue by 18:00—leaving no trace behind.
Data & Handover
Final check-in logs (789 badges printed, 789 e-badges sent) and usage statistics were exported and handed to ETF Stream for post-event analysis.
Client Feedback
ETF Stream reported high satisfaction with the speed of registration, the overnight scaling capability, and the quality of printed materials. The project closed on budget and with minimal disruption.
