Ometria hosted a one-day event at Tobacco Dock with a focus on speed, technology, and experience. They required a professional registration system that allowed guests to check in independently, collect branded badges, and enter the space without delays.

Pre-Event Preperation
In the days leading up to the event, our team prepared the full registration infrastructure to ensure a smooth and branded guest arrival experience.
System Setup & Badge Design
Data was collated from Ometria and used to configure the registration system, with branded, double-sided badges prepared for over 270 delegates. A print batch was created in advance for early arrivals and spares.
Logistics & Planning
Four kiosks, a print server, and a complete network setup were assembled, tested, and loaded for delivery. Accommodation, on-site parking at Tobacco Dock, sustenance, and route logistics were arranged. A 3.5T van and additional driver were booked due to cargo volume.
Team Deployment
A Registration Manager was assigned to oversee setup, kiosk operation, and breakdown. All crew were briefed in advance, and kit was packed with redundancy in mind to minimise risk on the day.
On-Site Execution
Our crew arrived at Tobacco Dock on 29 April for evening setup, ensuring everything was live and tested ahead of delegate arrival on 30 April at 08:30.
Kiosk Operation & Flow
Four kiosks were positioned at the entrance, offering instant badge printing with e-badge fallback options if required. Our team guided guests through the process, maintained equipment uptime, and kept the space clear and efficient.
Check-in Volume & Speed
Over 270 guests checked in during a high-traffic 2.5-hour window. The registration zone handled traffic without queueing or device interruption, with badges printed on-demand for walk-ins and changes.
Venue & Brand Experience
The clean kiosk layout, full-colour badge stock, and lanyard display reinforced Ometria’s professional tone. The front-of-house setup was integrated smoothly into the venue environment and guest flow.
Post-Event Wrap-Up
After the final guest was checked in, our focus turned to equipment removal and project completion.
Swift Breakdown
Kiosks and all tech infrastructure were dismantled between 15:00–16:00 on the same day. All kit was accounted for, packed, and collected with no disruption to the venue schedule.
Data Reporting & Closure
A check-in report was generated from the system and shared with Ometria for post-event insights. This included total attendees, print stats, and on-site performance.
Client Feedback
Ometria expressed satisfaction with the speed, presentation, and professionalism of the registration setup. No faults were reported and the entire project was delivered within scope.
